Crane rental guide

How to Prepare a Crane Rental Quote Request

A useful crane rental enquiry describes the lifting job, not just the crane size. Preparing the information below helps a rental company understand the work, identify missing details and explain what it needs to assess.

Before selecting equipment

A crane's advertised maximum tonnage is not its lifting capacity at every radius or configuration. The actual equipment and lift must be assessed using the applicable manufacturer's load chart and qualified personnel. This checklist does not replace a lift plan.

1. Describe the load

Identify the item being lifted, its dimensions, verified weight and the source of that weight information. Include details of any attached lifting equipment. If the weight is unknown, say so rather than guessing.

Explain where the load starts, where it must be placed and whether the work involves more than one lift.

2. Describe the lift geometry

Provide the proposed crane setup location, pickup and placement locations, approximate working height and horizontal reach. The lifting radius can significantly affect the applicable rated capacity.

A simple site drawing or annotated photograph can help the provider identify questions that need investigation. Do not use an estimated radius to authorize a lift.

3. Explain the site conditions

Describe ground surfaces, slopes, excavations, possible underground utilities, restricted access and overhead obstructions, especially power lines.

Access routes, gate widths and available setup space may affect equipment delivery and positioning. Ground conditions must be evaluated against the equipment's support requirements.

4. Specify timing and service requirements

Include the job address, proposed date, expected duration and whether you require an operated rental. Clarify who will arrange rigging, signaling, site preparation and any required traffic controls or permits.

5. Compare what each quote includes

Before comparing prices, ask each provider to identify the equipment and operating assumptions included in its proposal.

  • Minimum hire period and hourly or daily basis
  • Crane delivery, setup and removal charges
  • Operator, rigging and signaling responsibilities
  • Outrigger mats or other site-support requirements
  • Permits, traffic control and site-access arrangements
  • Overtime, standby, weather and cancellation terms

These are questions to clarify, not claims that every rental supplier charges for each item.

Your enquiry checklist

Use this checklist when preparing information for a rental company. Unknown details should be marked as unknown for professional review.

  • ☐ Job location, requested date and duration
  • ☐ Load description, dimensions and verified weight
  • ☐ Pickup and placement positions
  • ☐ Proposed setup area, reach and lift height
  • ☐ Site access, ground and overhead hazards
  • ☐ Operator, rigging and support requirements
  • ☐ Photos, drawings and relevant documentation
  • ☐ Clarification of pricing assumptions and exclusions
